Best Practices for Attending Virtual/Hybrid Events

HTRS uses Hubilo, a virtual event platform, for all virtual/hybrid events. A user guide for Hubilo will be sent to all registered attendees prior to the conference. HTRS recommends testing your computer and internet connection prior to the meeting.

Hybrid Platform

HTRS uses Hubilo, a hybrid event platform, to offer the Symposium to both in-person and virtual attendees.

Hubilo makes it easy to:

  • access meeting information
  • interact with other attendees, faculty, sponsors, and exhibitors
  • respond during educational sessions to polls and submit Q&A questions

A user guide for Hubilo will be sent to all registered attendees prior to the conference.

 

International Attendees

Before planning to travel, you should check current travel restrictions to the U.S. on the Centers for Disease Control and Prevention (CDC) website. Local regulations at home should also be consulted, to ensure you will be able to return home from the U.S.

Mobile Meeting App

HTRS uses a mobile meeting app to help you navigate through each day of events.

 

Use the mobile app for:

  • custom scheduling
  • receiving broadcast messages and notifications from HTRS
  • accessing sponsor/exhibitor content
  • engaging with other attendees
  • taking part in live social media feeds
  • many other features

 Download instructions for the meeting app will be sent to all registered attendees prior to the conference.

 


Posters

 

Poster Speed Session

HTRS is offering a poster speed session, in addition to in-person and e-posters. Poster videos played back-to-back, followed by the opportunity for onsite attendees to visit the poster hall to discuss presenters' research in-depth.

Virtual Attendees

Virtual attendees are encouraged to review the e-posters and submit questions to the presenters through Hubilo the online conference platform. platform. Although the virtual poster discussion will not be in real-time, onsite presenters will be encouraged to frequently monitor discussion activity in Hubilo and on the mobile app. 

Physical Poster Format

Language: All posters should be prepared in English
File format: Printed poster
Poster board size: 8 feet wide x 4 feet high; landscape orientation
Suggest poster size: Standard research poster sizing 4 feet wide by 3 feet high (or 48" x 36" inches)
Poster orientation: Landscape orientation is preferred, but not mandatory 
Hanging: Boards and push pins will be provided in the poster hall, please look for your assigned poster number.

Please note: Non-generic drug names and/or drug manufacturers’ names may not appear in the title of your poster and presentation but may be annotated in a footnote.

E-Poster Format

Language: All posters should be prepared in English
File format: PDF file of your finalized poster

Poster Removal and Collection

Meeting Management will begin dismantling the Exhibit Hall, where the posters will be located, at 12:00 PM on Sunday, March 12. Posters not claimed before 11:45 AM Sunday will be stored at the Registration Desk until the conference ends at 1:30 PM. 

HTRS is not responsible for any posters left at the registration beyond 1:30 PM. Posters not picked up by 1:30 PM will be discarded.

 

Registration Desk

Location: Oceans Foyer - Hotel Lobby Level

 

Visit the HTRS Registration Desk to check in, print your name badge, and pick up your conference materials. Your admission and drink tickets for the Welcome Reception and the HTRS 2023 Awards Dinner (if purchased separately) will be located on the back of your badge.

Check-In Instructions

  • Each attendee is responsible for printing their own name badge at the registration kiosks  The HTRS registration desk will not be pre-printing or handling badges. Individuals must print their own when checking in onsite.
     
  • The touchless check-in process allows you to scan your registration confirmation QR code, verify your contact information, print your name badge, and pick up a lanyard. Our support team will be available to assist you if issues arise or help is needed.
     
  • The registration desk will be staffed on the following days and hours:
     
  • Friday, March 10, 2023 | 8:30 AM–8:35 PM
  • Saturday, March 11, 2023 | 7:00 AM–5:30 PM
  • Sunday, March 12, 2023 | 7:00 AM–1:30 PM

In light of the world's current COVID-19 environment and its impact on in-person meetings, HTRS cannot guarantee that participants will not become infected with the extremely contagious COVID-19 virus while attending an in-person meeting, workshop, activity, or other event.

HTRS activities are designed to increase engagement, collaboration, connectivity, and community in a safe education environment. By participating in HTRS meetings and events, you agree and understand these risks and nonetheless accept them to utilize HTRS services and attend an in-person activity.  

You agree to release and waive all claims and rights against HTRS speakers, sponsors, vendors, Board of Directors, staff, and other attendees in connection with potential exposure to illness and infectious diseases, such as COVID-19, while attending HTRS in-person events or interacting firsthand with HTRS members.
