This is a position for an independent contractor who owns a limited liability company (“LLC”) or operates as a sole proprietor. Position Description
The Hemostasis & Thrombosis Research Society, Inc. (“HTRS”) is seeking a highly organized, detail-oriented, and self-directed team player to manage multiple research award programs for our nonprofit professional society. As a member of the HTRS administrative team, this individual supports innovative scientific research in blood disorders conducted by HTRS members. This is an excellent opportunity to enhance your experience in nonprofit management while contributing to the success of the HTRS mission.
Our preferred candidate is a self-starter who can manage intense detail, multiple priorities or deadlines, and work collaboratively in a fast-paced environment with a small remote team. Previous experience managing academic research grants in higher education is preferred. This position also provides support for HTRS strategic planning, fundraising, committee development, and educational programming.
Responsibilities
This position is responsible for overseeing all aspects of HTRS research award program management from pre-award fundraising to grant agreement execution, required reporting, and post-award reconciliation.
Specific responsibilities for the Award Programs Manager include:
Assisting the Executive Director with fundraising for award programs, including drafting proposals for pharmaceutical company sponsors and tracking the status of pending requests
Developing timelines and a Request for Applications (“RFA”) for each award program cycle in collaboration with the HTRS Award Programs Council (the “AP Council”)
Coordinating grant applications and feasibility review with program leaders
Answering queries from applicants, soliciting and confirming reviewers, and keeping AP Council leadership informed of progress toward review
Administering review committee meetings via Microsoft Teams and/or Zoom
Corresponding with applicants as needed and creating summaries of reviewers’ comments for all applicants
Drafting grant agreements for signature by awardees, mentors, and recipient institutions
Maintaining the HTRS Master Grants Database and completing required reconciliations for outcomes reporting
Collaborating with the HTRS Communications Manager to create eblasts and update the HTRS website and social media accounts on a regular basis
General Responsibilities as a Member of the HTRS Administrative Team
Build relationships and educate audiences as an ambassador for HTRS within the hemostasis and thrombosis community and the broader community at large
Participate in regular weekly team meetings and 1:1 meetings with the Executive Director
Maintain a regular weekly schedule during standard business hours as agreed upon with the Executive Director
Interact with HTRS members, the HTRS Board of Directors, the AP Council, internal planning committees, and representatives from national partner organizations in a professional and efficient manner
Travel to national meetings 2-3 times per year with the HTRS administrative team
Manage confidential information according to established privacy and confidentiality policies
Assist with other duties as approved and assigned by the Executive Director

Qualifications
Bachelor’s degree or equivalent combination of education and experience
At least 5 years of experience in a managerial role in a professional environment. Previous association management, academic grants office management, or nonprofit management experience will be prioritized
Proven level of excellence in written and verbal communication skills (writing samples will be required)
Highly organized, detail-oriented, and self-motivated with exceptional time management skills. Able to prioritize work effectively and adjust priorities as directed
Comfortable working independently as a remote team member; previous remote work experience is preferred
Experience using software and other digital tools necessary for effective remote work, especially Microsoft 365 (Teams, Outlook, Word, Excel, PowerPoint, and OneDrive), Zoom, Asana (or other time management software), and Survey Monkey Apply (or similar grants management software)
Experience using graphic design programs such as Canva, association management/CRM software, and social media scheduling tools is a plus
Additional Requirements
This is an independent contractor position for an individual who owns a limited liability company (“LLC”) or operates as a sole proprietor
The contracted individual agrees to bear full responsibility for the withholding, collection, and payment of appropriate federal and state income taxes, employment insurance premiums, and personal retirement plan contributions
The contracted individual will be required to carry necessary business insurance
The contracted individual must provide their own dependable, high-speed internet connection and office equipment (laptop, wireless mouse, printer, etc.) necessary to participate in remote work and Zoom and Teams meetings
